German YMCA Privacy Policy

The German YMCA takes its responsibility towards the security of members and service users information as its highest priority and conforms to the rules contained in the General Data Protection Regulations introduced in May 2018.

If you choose to contact the German YMCA you may need to pass personal data to us, via emails, post and telephone or in person.

Where you provide personal data to the German YMCA such data will be used only for the service you have requested and will never be shared with a third party unless specific consent has been given to enable us to provide the requested service.

 

We may ask your permission to store data received if we are unable to provide the service requested immediately so that contact can be made later should the situation change.

 

You have the right at any time to request the removal of any or all information we hold on file for you except where it is required for statutory or audit purposes. 

 

The German YMCA’s site does not automatically capture or store personal data from visitors to the site, other than to log the user’s IP address and session information such as the duration of the visit to the site and the nature of the browser used. This information is used only for administration of the site system and in the compilation of statistics used by the German YMCA to assess the use of the site. The German YMCA does not use "cookies" to collect user information from this site.

 

Email addresses are not automatically captured electronically but for operational reasons emails may be printed and kept on file for future reference. All electronically stored emails are deleted one year after receipt.  Any printed hard copies and other correspondence is securely destroyed one year after the requested service has been completed.

 

Where information is stored relating to grants made for the Volunteer Placement Service these have to be held for a period of 5 years for audit purposes. This is a requirement by the funding authority.

 

CCTV monitoring takes place at all entrance and exit points from the hotel and a number of other locations. This monitoring is for safety and security reasons only and may be passed to the police as required. Recordings are retained for a maximum of six weeks.
